A small error can undermine a big message.

Direct answer

To proofread, wait before checking, read slowly or aloud, check names, numbers, dates and links and look for correct words used wrongly. Use tools as help, not as the last line of defence.

Checklist

  • Names and titles spelled correctly
  • Numbers, dates and currencies right
  • Links work
  • Attachments included
  • Spelling and grammar checked
  • Consistent formatting
  • Tone suits the reader
  • Subject line makes sense

Tricks

  1. Read aloud.
  2. Read backwards, sentence by sentence.
  3. Change the font or print it.
  4. Ask a colleague for a quick check on important documents.

Names, numbers, dates, spelling, grammar, links, formatting and consistency.
